description Job Description
Executive Assistant to the Managing Director (MD)
Location: Lagos, Nigeria (with Abuja travel)
Reports Directly To: Managing Director / CEO
Level: Senior Executive Appointment (10–15+ years experience required)
Confidential, High-Trust Role
Company Context (Confidential)
Our client is a high-growth, premium infrastructure and services business operating within a regulated environment, delivering ultra-high-end customer experiences for high-net-worth individuals and international clients.
The business is developing and operating bespoke, luxury environments — including private suites and premium service facilities — designed to offer seamless, discreet, and world-class experiences.
The operating model sits at the intersection of:
· Government and regulatory engagement
· Infrastructure development
· Luxury service delivery
· International client management
This is a founder-led, fast-scaling business with significant growth ambitions.
Role Summary (Search Brief)
The Managing Director is currently carrying too much — across operations, regulatory engagement, investor coordination, and internal execution.
Critical functions such as calendar control, decision tracking, stakeholder coordination, regulatory follow-ups, and executive communication are either not consistently happening or are landing directly on the MD.
This role exists to fix that.
We are hiring a high-calibre, senior Executive Assistant who will act as the operational nerve center and control mechanism of the MD’s office.
This individual will:
· Protect the MD’s time and strategic focus
· Ensure disciplined follow-through across the leadership team
· Coordinate high-level external stakeholders
· Bring structure, visibility, and accountability into a fast-scaling business
This is not a junior administrative role.
It requires 10–15+ years of experience, executive presence, and the ability to manage upwards, influence laterally, and operate with authority in high-stakes environments.
Operating Mandate
ENSURE ZERO OPERATIONAL LEAKAGE INTO THE MD’S VISIONARY SCHEDULE
· No unstructured issues reach the MD
· No missed follow-ups or lost information
· Only clear, decision-ready inputs land on the MD’s desk
Core Responsibilities
· Own and optimise the MD’s calendar with disciplined and strategic prioritisation
· Coordinate high-level meetings with government, regulators, investors, and strategic partners
· Track execution across departments and ensure disciplined follow-through
· Draft and review executive correspondence, briefs, proposals, and board materials
· Track regulatory submissions and stakeholder follow-ups
· Serve as the communication bridge between MD and department heads
· Prepare briefing notes before every high-level meeting
· Capture decisions and ensure immediate post-meeting execution
· Manage confidential documentation and executive travel
Candidate Profile
· 10–15+ years’ experience supporting CEOs, MDs, or Founders
· Proven experience in high-pressure, high-stakes environments
· Experience working with senior external stakeholders (government, regulators, investors, or large corporates)
· Background in aviation, hospitality, banking, infrastructure, or luxury sectors strongly preferred
· Demonstrated ability to manage upwards and influence senior stakeholders
Core Capabilities
· Exceptional written and verbal communication
· Strong judgment and decision-making ability
· Advanced organisation and execution tracking
· High-level stakeholder management
· Tech fluency: Google Workspace, CRM systems, Note-taking tools (e.g. Notion), Project tracking tools (e.g. MS Project)
Personality DNA
· Takes Ownership – deeply aligned and protective of the MD and business
· Ultra-discreet – trusted with highly sensitive matters
· Calm under pressure – composed in fast-moving environments
· Highly organised – detail-driven with strong follow-through
· Strategic thinker – understands priorities, not just tasks
· Proactive – anticipates needs before they arise
· Luxury brand aligned – understands excellence, presentation, and experience
Compensation
Upper-tier executive compensation (commensurate with experience)
Performance-linked incentives
Exposure to high-level stakeholders across government, business, and international networks
Important Note to Recruiters
This role will not suit junior or mid-level Executive Assistants.
We are specifically targeting:
· Individuals who have supported top-tier executives
· Candidates who can operate as a control function, not just support
Professionals comfortable working in high-visibility, high-accountability environments
